Turn meetings into next steps with Daily Flow
Track each client's work on a private card, review meeting-backed suggestions, and spot follow-ups that need attention. Available on accounts with Daily Flow enabled.
Open Daily Flow CRM in the dashboard sidebar. This feature is available on enabled accounts; if the link is missing, contact support@yourdayschedule.com about access.
Work cards
A card tracks one piece of work, such as an application or service. One client can have several cards. Choose Add card, link the client, and set the stage, due date, and who you are waiting on. Dates on cards are work deadlines, not calendar appointments.
Open a card to add private comments, internal tasks, and meeting sources. Task comments can hold extra instructions; web links open in a new tab. These internal tasks do not send a client message or create an external CRM task.
Link meetings
When a recorded meeting completes with a transcript or summary and a linked, unblocked client who has exactly one unpaused, non-archived card in your account, YourDay can attach it to that card automatically. The card must have been created no later than one day after the meeting started. Existing meeting links are preserved. If there is no eligible card or more than one, it does not guess.
Recent meetings not on a card shows up to five eligible unlinked meetings from the past 14 days. Choose the right card there, or open a card and use Meeting sources → Link meeting. Use Unlink if a source belongs elsewhere. Automatic links and unlinks appear in Change history.
Review suggestions
Where meeting suggestions are enabled, linked completed meetings can produce proposed stage changes and up to five internal host tasks, with supporting quotes. Open Suggestions on the card, check the evidence, edit task titles or due dates, and untick tasks you do not want. Choose Accept to apply your reviewed changes, or Dismiss to leave them unapplied.
Use Review linked meetings to request another review. Suggestions take time to process and may contain fewer tasks, or none, when the meeting does not support an actionable change. If the card or meeting has changed since a suggestion was prepared, refresh and review the current version before approving.
Linking or reviewing a meeting does not itself accept a suggestion. A booking, payment note, or document mention does not establish a completed application, payment, or other final outcome.
Ask Daily can read your cards and prepare confirmation for an existing pending suggestion. Use the board when you want to edit individual proposed tasks.
Needs attention
Choose Needs attention to find cards with:
- an overdue date,
- a deadline today or within two days and no open task,
- more than seven days since the last card update while waiting on a client or third party,
- more than three days since the last card update while waiting on you,
- more than 21 days in the current stage with no due date, waiting status, or open task.
Paused and archived cards do not show these alerts. The labels are reminders based on saved dates and status; they do not change a card or send a message.
Before your next meeting
The home dashboard's Up next card and on-demand AI prep can include the client's card stages, due dates, waiting status, and open tasks. Card comments are excluded from this prep context. Regenerate a previously generated AI brief to include later card changes. See Meeting prep and dossiers for the card's opt-in setting and background refresh behavior.
If something's off
- A meeting did not link itself — check the meeting's linked client and whether that client has exactly one eligible card. Meetings recorded before a card existed may need a manual link.
- No suggestions appeared — confirm that a completed meeting is linked, choose Review linked meetings, and check the queue shown on the card. If suggestions are not enabled for your account, the board still supports manual work.
- A linked meeting cannot be reviewed — recording opt-outs, missing required recording consent, and bookings owned by another host can make a meeting ineligible. Linking it to a card does not override those restrictions.
- The board looks out of date — choose Refresh. Review current card details before accepting a pending change.
