Send event invitations and track RSVPs
Create a branded invitation, send personal RSVP links by email, and see who's coming, including plus-ones and the waitlist.
Open Invitations in the dashboard sidebar. This feature is available on enabled accounts; if the link is missing, contact support@yourdayschedule.com about access. You can hide it from Settings → Notifications & Settings → Invitations in sidebar — invitations you've already sent keep working, and guests can still RSVP.
Create an invitation
Choose New invitation, then fill in the Details tab:
- Title, Description, and a Starts / Ends time with a Time zone — guests see times in the event's time zone.
- Venue name and Venue address, plus a Video link for hybrid or online events (it must start with
https://). - RSVP deadline — leave it blank and replies close when the event starts.
- Turn on Limit capacity to set a Capacity and, optionally, Offer a waitlist when full.
- Two reminder settings: one for guests who haven't replied yet, one for confirmed guests before the event.
Turn on Show the address to anyone with the share link if share-link visitors should see the venue address too — invited guests always see it, whether or not this is on.
Make it yours
The Details tab's Branding section covers the look of the invitation:
- Theme — five options: Paper, Dusk, Garden, Confetti, and Midnight.
- Cover photo — Upload cover photo adds one, cropped to a wide 3:1 banner with photo location data stripped out; use Replace or Remove afterward.
- Logo — Your account logo, a Custom logo for this event, or No logo.
Add guests
On the Guests tab, choose Add guests. Add people From your clients or Paste names and emails (One per line), and set a Default plus-ones for these guests before adding. Adding someone here does not create a client record.
Publish and send
Choose Publish to make the invitation live — nothing goes out before that. Choose Send to email your guest list: pick an audience (not yet invited, everyone invited, going, maybe, no reply, or waitlist), choose Invitation or Message, then Review and Confirm send.
Emails go out within about a minute, and delivery status appears on the Guests and Messages tabs.
Invitation emails include the date, time, venue name, and — for invited guests — the video link, but never the street address. Guests see the address on their invitation page, subject to the toggle above.
Share link
The Details tab's share panel lets you turn on a link anyone can open to view the event name, time and description and RSVP, after confirming their email with a one-time code. Share-link visitors never see the video link, and see the address only when Show the address to anyone with the share link is on. Your guest list stays private either way.
What guests see
Each guest gets a personal link — no account needed. They choose Yes, Maybe, or No, set a party size if you allow plus-ones, add an optional note to you, and select Save RSVP. From the same page they can download a .ics file or Add to Google Calendar, and opt out of reminders and host messages.
Capacity, plus-ones and waitlist
Capacity counts people, including plus-ones. When an event is full and the waitlist is on, a guest replying yes can join the waitlist instead. Promote a waiting party from the Guests tab when there's room — the whole party moves together, never partially.
Changes and cancelling
Time or place changes are highlighted on the invitation page, and existing RSVPs stay recorded rather than reset. You can send an update email to let guests know.
To cancel, open the ⋯ menu and choose Cancel event. You can optionally Email invited guests with a message. The invitation page then shows the event as cancelled.
