Sell seats with activity bookings
Let several clients book the same time slot — classes, tastings, tours and private hires. Set seats per session, a minimum per booking for private hire, and let guests bring their whole party in one checkout.
Turn on activity bookings
Activity bookings live behind one switch: Settings → Notifications & Settings → Bookings → Activity bookings. It's off by default — flip it on and every meeting type in Booking pages gains a Max attendees per slot setting.
Turning the switch off later only hides those editor fields again. Any class you've already configured keeps selling seats exactly as before — the switch controls what you see while editing, never what clients can book.
Set seats per session
Edit a meeting type in Booking pages and set Max attendees per slot (1–100):
- 1 is the classic one-on-one behavior — one booking fills the slot. Nothing changes for your existing meeting types.
- More than 1 turns the type into a shared session: the same time slot stays bookable until every seat is taken, then disappears from your booking page.
Each seat is a full booking of its own — its own confirmation email, portal access, intake form and cancellation rights. Your Bookings list shows every attendee as a row, and your calendar shows their bookings at the session time.
Seats aren't available on round-robin meeting types — a group session belongs to one host (the type's assigned host, who can be a team member). The editor tells you if you try to combine the two.
Minimum party size
Once a type has more than one seat, a second field appears: Minimum per booking. Use it for private hires and group minimums — "book the barrel room, minimum 10 people."
With a minimum set, the booking page's party selector starts at that number, and nobody can book fewer seats. Price is per person, so a 10-person minimum at $140 books at $1,400 upfront.
How guests book
On your public booking page, a group type shows a "How many people?" selector on the time step:
- The times offered are filtered live — a party of four only sees slots with at least four seats free.
- One guest books for the whole party in a single checkout and pays price × people in one payment.
- The confirmation, reminders and portal work exactly like any booking; your inbox note and calendar event say "Party of N" so you know the headcount.
Different bookings share the session: two couples and a solo guest can fill a 5-seat tasting across three separate bookings.
Payments and cancellations
- Paid types collect the full amount at booking through Stripe or Square — price × seats, one charge per booking. Refunds are full-only and cover the whole party.
- Cancelling a booking frees its seats instantly, and the slot reappears on your booking page. If you've enabled the waitlist, everyone waiting gets a "spot opened" email the moment seats free up — first to book wins.
- Package codes redeem exactly one seat, so they can't be combined with a party booking.
- Rescheduling keeps the party together — the new times offered are only ones with room for the whole group.
If something's off
- "Max attendees per slot" isn't in the editor — the Activity bookings switch is off. Turn it on in Settings → Notifications & Settings, then refresh the Booking pages tab.
- A time is missing for a big party — the party selector filters to slots with enough seats left. Drop the party size to see what's still open, or point extra guests at another session.
- A session shows fewer seats than you expect — pending payments briefly hold their seats while the client checks out; abandoned checkouts release them after about 35 minutes.
- You lowered the seat count and a session is over the new limit — existing bookings are honored; the change applies to new bookings from then on.
